Choosing a plan and what it costs

This article explains what the three LobbyFlight plans include, which things are charged on top of the plan price, and where in the portal you look at your subscription and change it.

Two points decide most of it. The number of screens you want to run is the limit you hit first, because it is a hard cap. The airports you want to show are the second, because only the first airport is part of the plan price and every further one is a paid add-on.

The three plans

Basic, €69 per month. Basic runs one display showing one airport, refreshed every 60 minutes. You can upload your logo and set your own colours, and the display keeps showing the last data it received when the network drops. Basic has no weather widget, no info slides of your own, and one display language. Support runs by email. Basic cannot buy additional airports at all β€” if you need a second airport, you need Pro or Premium.

Pro, €149 per month. Pro runs up to three displays, refreshed every 30 minutes, and adds the weather widget, up to five of your own info slides, a second display language and the full branding options. Additional airports can be booked as add-ons at €99 per month each. Support is prioritised. Pro does not include the analytics dashboard, push notifications or API access.

Premium, €199 per month. Premium has no cap on the number of displays or info slides, refreshes every 5 minutes, and unlocks all 42 display languages. It is the only plan with the analytics dashboard, push notifications, API access, and white-label display output with the option of your own domain. Additional airports cost the same €99 per month as on Pro. Support is prioritised and available by phone.

Offline mode works on every plan and is not something you switch on: the display keeps showing its cached board when it loses the connection, regardless of what you pay.

Airports are a pool, and only the first one is free

Every plan includes exactly one airport. That airport belongs to the organization rather than to a single property, so all your houses draw on the same pool: one included airport plus whatever add-ons you have booked. If two hotels of yours sit near the same airport, they share the one entry and you pay for it once.

Every airport beyond the included one costs €99 per month. There is no upper limit on how many you add, and you manage them under Airports in the portal sidebar (described there as "Manage airport add-ons"). The page separates Included Airport, which is free with your subscription, from Additional Airports, which lists what you are paying for and what it adds up to. Adding an airport starts a recurring charge immediately; removing one stops it.

On Basic the add-on button is not available. If you try to add a second airport, the portal answers with an upgrade prompt instead, because add-ons require Pro or Premium.

The refresh interval comes with the plan

How often a display fetches new flight data is fixed by your plan β€” 60 minutes on Basic, 30 on Pro, 5 on Premium β€” and there is no setting for it anywhere in the portal. This matters when you judge whether a board is stuck: on Basic a departure time that has not moved for half an hour is normal, not a fault. If you need the board to follow short-notice changes, the interval is a reason to move up a plan, not something support can adjust for you.

Concierge is billed separately

Flight tracking for individual guests is a separate line on the same invoice. Concierge S costs €39 per month and covers 30 trips, Concierge M costs €89 for 100 trips, and Concierge L costs €199 for 300 trips; trips beyond the included number are charged individually. Premium subscriptions include a bundle of 50 trips per month at no extra cost. If you already track guests on Premium and keep running past 50 trips, a package is what you want. Paying yearly

You can pay monthly or yearly, and the choice is a toggle both on the public pricing page at /pricing and in checkout. A yearly subscription costs ten times the monthly price β€” €690, €1,490 or €1,990 β€” so two months of the year come free, which is the roughly 17 percent the pricing page advertises.

All prices are in euros and exclude VAT. Tax is calculated automatically during checkout based on your billing address, and you can enter a VAT ID there so it appears on your invoices. Checkout also accepts promotion codes; note that the WELCOME25 code applies to monthly subscriptions only and is ignored on a yearly one. There is no setup fee and nothing is charged besides the plan and the add-ons you book.

The free trial

Every plan starts with a seven-day free trial. You do need a payment method to begin, because registration takes you straight through Stripe Checkout β€” the card is collected at signup and charged only when the trial ends. During the trial you have the plan you picked, with that plan's limits, not access to everything: a trial on Basic still shows one airport on one display.

Billing belongs to the organization

Your subscription sits on the organization, not on an individual hotel. When you change plans, the new limits are written to every property in the organization at once, and the Stripe billing portal you open shows the organization's customer record. Changing your plan

Your current plan, what it covers and your payment history are under Account β†’ Billing in the portal, at /portal/billing. The Upgrade Your Plan section on that page shows a card for each plan above your current one with an Upgrade Now button; on Premium that section disappears, since there is nothing higher.

An upgrade takes effect the moment you confirm it. The subscription price is swapped immediately, Stripe issues a pro-rated charge for the rest of the current period, and the new limits are active in the portal right away β€” you do not wait for the next invoice.

A downgrade behaves exactly the same way. It also takes effect immediately, it also produces a pro-rated adjustment, this time as a credit for the part of the period you have paid for and no longer use, and the lower plan's limits apply at once. Plan on that before you move down: if you are running three displays on Pro and switch to Basic, the one-display limit starts applying straight away. The portal itself only ever shows cards for higher plans, so if you want to move down, write to info@lobbyflight.com or call +43 650 753 1811 and we will do it for you.

Invoices, receipts and your payment method live one step further out. Manage Subscription on the billing page opens the Stripe billing portal, which is also where you cancel. Closing your organization cancels the subscription at the end of the current period instead. See Cancel Subscription for what happens to your displays afterwards.

If your account is a complimentary one, all of this is switched off deliberately: the billing page shows a complimentary account instead of plan cards, and checkout, plan changes and the Stripe portal are refused. Contact us if a complimentary account needs to become a paying one.
