Emergency notice on all screens

Now and then a lobby board has to stop showing flights and say one thing clearly: please leave the building, the airport road is closed, stay indoors until the storm has passed. The emergency notice replaces the board on every screen of your property with a single message, and brings the flights back as soon as you end it. It is included in every plan.

What the notice does

The notice appears on every display of the property you are signed in to, whatever its mode or layout. It fills the whole screen: a red band with the words "Important notice" in the board's language, your heading in large yellow letters and your message below, on a black background.

It shows above everything else on the board, including night mode, so a dimmed or blank screen shows it too. It stays until you end it; there is no automatic end time. Screens pick it up on their next update, within about 20 seconds. A screen that is switched off or has lost its internet connection cannot show it until it is back online.

In a hotel group, the notice covers one property at a time. The other properties of your organization keep their boards unless you activate a notice there as well.

Show a notice

  • In the portal, open Displays. The card Emergency notice for all screens sits on this page as soon as your property has at least one display.
  • Select Prepare notice. The Heading is filled in with "Important notice"; you can change it, up to 80 characters.
  • Write the Message, up to 500 characters. The message is required, and line breaks you type are kept on the screen.
  • Select Show on all screens and confirm the question that follows. Nothing reaches the screens before you confirm.
  • While the notice is showing, the card turns red and says "Emergency notice is showing on all screens", with your text and the time it started.

    It is worth opening the card once on a quiet day, so everyone on your team knows where it is before they need it.

    End the notice

    Select End emergency notice on the red card and confirm. All screens return to the flight board on their next update, within about 20 seconds. Your last heading and message are kept and filled in the next time you select Prepare notice, so you can reuse or adapt them.

    Writing a good notice

    The screen shows your text exactly as you typed it; it is not translated. If your guests speak different languages, put the most important sentence in two languages. Keep it short and calm, and say what guests should do, where they should go and whom they can ask.

  • Evacuation: heading "Please leave the building", message "Please leave the building by the nearest exit and follow the instructions of our staff. Please do not use the lifts."
  • Road closure: heading "Airport road closed", message "The motorway to the airport is closed until about 16:00. Please allow at least 30 extra minutes, and our reception will gladly help you with alternatives."
  • Severe weather: heading "Please stay inside", message "Because of a severe storm warning, please stay inside the hotel for now. We will update this notice as soon as it is safe to leave."
  • Try it in the preview first

    To see how a notice looks without touching the screens, open any display, go to the Design tab and choose Emergency notice under Try a situation next to the live preview. The preview shows a sample text and a "Preview" label. It stays in the editor and never reaches a screen, which makes it a good way to show new colleagues what guests would see.

    Emergency notice or announcement ticker?

    For everyday information, the announcement ticker is usually the better choice. It is a Pro option that you set per display under Design → Hotel extras: one line above the footer, up to 200 characters, marked as information or urgent, with an optional end time. The flights keep showing.

    A calm word on safety

    The emergency notice is an additional way to reach guests in the lobby. It complements your building's fire alarm, public address system and evacuation procedures, and it does not replace any of them. It depends on screens being switched on and online, and it only reaches guests who look at a screen. Include it in your emergency plan as one channel among several, and keep following the procedures you already have.

    For properties that belong to an organization, every activation and every ending is recorded in the organization's audit log, together with who did it and when.

    Troubleshooting

    One screen still shows the flights. Give it about 20 seconds. If it still shows flights, check that the screen is switched on and connected to the internet, and that it belongs to the property where you activated the notice. The Reload screen button, the circular arrow in that display's row of the list, helps a screen that has stopped updating.

    I cannot find the card. It appears on the Displays page once the property has at least one display. Check that the right property is selected at the top of the sidebar. The concierge role does not have access to the Displays page, so ask an owner or manager.

    Show on all screens stays greyed out. The message is empty. Write a message; the heading alone is not enough.
